The Kenya Universities and Colleges Central Placement Service (KUCCPS) has explained the costly mistakes that could lead to the rejection of an inter-institutional transfer application, urging students to confirm they meet all requirements before submitting their requests.

The placement agency on Friday, July 17, 2026, opened a 30-day inter-institutional transfer application window for students placed in universities and Technical and Vocational Education and Training (TVET) institutions who wish to move to different institutions offering their preferred programmes.

Students from the 2023, 2024 and 2025 KCSE cohorts are eligible to apply, but KUCCPS says approval is not automatic. Every transfer application is assessed based on programme cut-off points, admission requirements and the availability of vacancies in the institution a student wishes to join.

One of the most common mistakes applicants make is applying for a programme without meeting the required cut-off points. KUCCPS says students must attain the minimum cut-off points for their preferred courses, meaning applications that fall below the required threshold may be rejected.

Another mistake is failing to satisfy programme-specific admission requirements. While a student may have qualified for university admission, each course has its own subject requirements that must also be met before a transfer can be approved.

Students also risk having their transfer applications declined by selecting programmes that no longer have vacancies. KUCCPS says inter-institutional transfers depend on available space in the receiving institution, meaning even qualified applicants may miss out if all available slots have already been filled.

Waiting until the last minute to apply is another costly mistake. KUCCPS has advised students to submit their applications before the August 14, 2026, deadline to avoid missing the transfer window or encountering last-minute technical challenges.

Applicants should also take time to verify all the information they provide on the KUCCPS student portal. Incorrect personal details, selecting the wrong institution or choosing the wrong programme could delay processing or affect the outcome of an application.

KUCCPS has further cautioned students against assuming that every transfer request will be approved automatically. A transfer application may be rejected if an applicant does not meet the eligibility criteria, fails to satisfy the programme requirements, or applies for a course with no available vacancies.

The placement agency is also advising students to read the transfer guidelines before submitting their applications. Understanding the eligibility requirements beforehand can help applicants avoid mistakes that reduce their chances of securing approval.

“Were you recently placed in a university or TVET programme and wish to move to a different institution? Take advantage of the current 30-day inter-institutional transfer application period. Log in to the KUCCPS student portal and apply for a transfer,” KUCCPS said.

The transfer exercise follows the release of the 2026 placement results, which saw more than 200,000 students secure places in universities, colleges and other tertiary institutions.

More than 57,000 candidates who attained the minimum university entry grade of C+ were not placed in degree programmes. Following the release of the results, Education Cabinet Secretary Julius Ogamba directed KUCCPS to establish a mechanism for late applications to ensure eligible students who missed the initial application window still have an opportunity to seek placement.

Students wishing to change universities or TVET institutions have until August 14, 2026, to submit their inter-institutional transfer applications through the KUCCPS student portal.
